MINUTES OF MONTHLY MEETING

April 3, 2017

The Board of Directors of Buena Vista Lakes Maintenance Association met March 6, 2017; at 6:30 p.m. President Bill Rushe called

the meeting to order and Janie Fitzpatrick led the assembly in prayer.

A roll call of board members was requested. Present were: Bill Rushe, Jessica Fulton, Chuck Scott, Randy Cole, Donna Depukat,

Mike Willey, Barbara Campbell, Jo Ann ager, Diane Barber, Larry Watson and secretary-treasurer Christy Chavez. A quorum was

established.

Association members present were: Kathy Fink, Diane Plunk, Ned Plunk, Scott Fitzpartick, Dale Wardlaw, Johnathon Hall, Mary

Grace Hall, Donna Miller, Abby Miller, Janice Burchett, and Yvonne Chaney.

MINUTES: The Minutes of the Monthly Meeting of March 6, 2017 were reviewed by the directors. Motion was made to accept the

minutes as presented; the motion was seconded and passed unanimously.

FINANCIAL REPORTS: The Monthly Financial Statement was reviewed. There being no changes, the report was accepted for

review.

Recreation: Pool, Ballfield, Playground:

Playground

 Ms. Fulton reported that the chains and swings had been installed on the playground. The motion was made by Mike Willey

to pay Ms. Fulton 148.67 for the cost on the repair of the swings. The motion was seconded and passed 10-0.

Pool

 Ms. Fulton reported that trees were pruned and the grounds and pool were cleaned.

Maintenance: Lakes & Dams & Mowing:

Lakes & Dams

 Mr. Cole reported that he had received one bid in the amount of $5,000.00 to replace the floating dock.

 Mr. Cole requested the board’s permission to discard the lakes pumping pipes due to dry rot. Jessica Fulton made the motion

to allow Mr. Cole to discard the old pipes, Ms. Depukat seconded the motion. The motion passed 10-0.

 Bids are currently being taken to establish a driveway and parking area at the Thunderbird North common area.

Mowing

 No report.

Publicity: Orange Book, Beautification/Sanitation/Building Permits & Greeter:

Orange Book

 Ms. Depukat read a letter from a resident regarding posts on Facebook regarding BVL. The board agreed that the community

Facebook accounts are not Board affiliated, therefore the board has no authority over the sites.

Permits

 Mr. Willey reported 30 beautification violations, communicating that he would begin working on the worst cases first.

 Resident Jonathan Hall asked if there are any restrictions on building a seawall with treated railroad ties. Mr. Willey and Mr.

Cole agreed to check and get back with Mr. Hall.

 Ms. Campbell had nothing new to report.

Clubhouse:

 Ms. Yager reported 1 rental that had been turned in the previous month.

 Ms. Yager made the motion to purchase AA batteries to replace the current ones in the smoke detectors. Mr. Willey seconded

the motion. The motion passed 10-0.

 Ms. Yager made the motion requesting that the board allow the Ladies club to purchase, plant and maintain nadina shrubs in

the front and side of the clubhouse using railroad ties as a border and mulch as ground cover. The motion was seconded by

Mr. Cole, the motion passed unanimously 10-0.

 Ms. Barber reported that she had received 4 bids on rekeying the clubhouse. (See attached) Ms. Barber made the motion to

accept the bid from Payne Locksmith as follows: $55 service charge, with a 90 day guarantee, $18.50-20.00 to rekey per

cylinder with 2 free keys per cylinder $2 per each additional key. Mr. Willey seconded the motion. The motion passed 10-0.

Finance:

 Ms. Fitzpatrick reported there are currently 93 unpaid lots totaling $40,067.91 in uncollected dues.

 Saturday, May 20, from 7-10 next Saturday button day.

Security:

 Security officer Larry Watson reported the streetlight has been repaired.

 4-wheelers and untagged recreational vehicles are not permissible on county roads.

 The sheriff’s department is beefing up their patrol on speeding vehicles.

Ladies Club:

 Ms. Fink reported that the Ladies Club will be holding their Spring Potluck on April 1 @ 6:00. There will be 3- $25.00 door

prizes.

 The Annual Easter Egg Hunt will be April 15th @ 1:00.

New/Unfinished Business

Welcome Sign:

 Ms. Depukat suggested getting rid of the front information sign and finding something more aesthetically pleasing. Mr.

Rushe asked Ms. Depukat if she would check into getting some prices on an electronic message board. Ms. Depukat agreed.

Voting:

 Mike Willey made the motion to allow the board to conduct mid-month business by voting on and approving issues by text

and email, all voting would have to be a full vote n order to pass. The motion was seconded and passed 9-1.

Ink:

 The secretary requested the board’s approval to purchase 2 ink cartridges. The board agreed 10-0.

The motion was made and seconded to adjourn the meeting, the meeting adjourned at 7:36 p.m.
