MAINTENANCE ASSOCIATION, INC.

The Board of Directors of Buena Vista Lakes Maintenance Association met at 7:02p pm at the clubhouse and was called to order by President Caleb Hodges.

A roll call of board members was requested. Members present included Ray, Caleb, Jackie, Kiley, Carl, Janice, Gina, Teri, Carla Secretary.  

Community Members in attendance:  Ned, Ann, Cristen Milligan, Doug Potete

Benevolence Collection was done.  New Total 946, collected $30 at meeting

MINUTES: The Minutes of the Monthly Meeting Minutes of September 2024 were reviewed, Kiley motion to accept the minutes as adjusted. Gina 2nd.  Vote was unanimous. 

FINANCIAL REPORTS: The Monthly Financial Statement via Keith Collins management company was reviewed. Teri questions, September reimbursements for Caleb & Jackie. Gina motioned to accept. Kiley accepted and all in favor unanimously.  Clarify anything over $500 must be approved by the board.  

  Finance:

·         Finance report as follows: Teri reported enough money in the checkbook to spend the rest of the year.  operating $46840k / MM $44169, Assessment $30k.  30350 in outstanding 24452 in over 90 days. 12k not paid on the assessment.  Teri to get a list and recommend actions on delinquencies for recommendations.  Asked board members to provide annual updates. Long discussion (42 min) on assessment, lakes & dams, etc.

Neighborhood Watch:

·         Neighborhood Watch report as follows: Kim Wood reported 4 extra patrols for issues such as disturbances, and animal control, poison in lake

Recreation (Pool, Ballfield & Playground):

·         No updates.   

Clubhouse:

·         Clubhouse report as follows:  rental in December – nothing until May – the roof person is looking to fix the bump on roof and the interior damage to ceiling.  And punch list the issues. Ann to send to Kiley the roofer contact info.  Remaining repairs -office ceiling bathroom ceiling move the vent – get black paint for the windows and get a black tack strip to hang decorations. 

Orange Book

·         Orange Book report as follows:  No report.

Need to send out the new amendments to the current resident. The minutes of the October meeting 2023 were incorrect, the minutes of the 2024 annual meeting did not correct the error – there is an attorney there who will have to have their opinion on the new assessment. Meeting notice from last year and the notice did call it a special assessment.  Is the vote proper?  Email or personal visit, motion by Jackie to visit w attorney and Teri to meet the current attorney to discuss the special assessment.  Unanimous.  Brad Palmertree. 

Rental documentation.  Kiley to get the notification that current landlords have to register with the HOA.  Teri moved to extend the deadline to 30 days as of when we send it, it is in the bylaw. Not 2nd.  However we are giving a grace period. Ray 2nd.  Kiley with changes.  Unanimous. Kikey motion to mail rental notification to every lot and rental to everyone all of the amendments.  Ray 2nd.  Unanimous.

Beautification:

·         Beautification report as follows:  No report

Building Permits

·       

The addition to 8721 Bob White Drive located at lot 102 and the addition to the existing home crossed over the property line to Lot 103.  The owner talked with the Desoto County Planning Zoning and building regulations  department and was told to combine both lots into one by replatin and recording to the record in order to do the addition of existing structure.  The County will not allow a building addition or new build to cross over the property line of adjoining lot or property, even though they may be owned by a single owner.  If a single owner of two properties wants to develop or add onto an existing structure and cross a property line, the two lots would have to be replated to form a single property in order to add on to an existing structure, if that addition should cross the property line.  THis is required by Desoto county Planning Zoning and building regulations department.  It was agreed to by the owner that they would be responsible for dues for two lots as originally plated in the development of BVL.  Formal notice of BVL lots NOT being combined as per HOA guidelines to owners who acknowledge that dues will be owed on both lots permanently.

·         Greeter report as follows:  Janice Burchett reported visiting a couple of houses

Mowing & Grounds

·         Mowing & Grounds report as follows:  One cut, special request.

Maintenance: Lakes & Dams:

·         Lakes & Dams report as follows:  Working on plans for projects. Boat Ramp dirt will be moved? Board wants sand and dirt. Sign installation to close the last levee.

         Ladies Club:

                     Men are welcome.  Vet Breakfast, Pot Luck + December events
