The Board of Directors of Buena Vista Lakes Maintenance Association met at 7:00 pm at the clubhouse and was called to order by President Caleb Hodges.
A roll call of board members was requested. Members present included , Caleb Hodges (President, Mowing), Sommer Albright (Recreation), Kiley Brougham (Clubhouse), Joel Bales (Neighborhood watch), Kevin Cooper (L&D), Carla Tartera (Acting Secretary). Absent: Charles Camarato (Permits), Amy King (Welcome Committee), Teri Rowell (VP, Finance & OB),
Property Owners in attendance: Ned Plunk, Kathy Fink, Kayla V., Ann Plunk
Benevolence Collection was done. New Total: $805 ($35 collected)
MINUTES: The Minutes of the Monthly Meeting Minutes of November were reviewed and approved with changes updated to benevolence and concerns regarding recording of L&D minutes. Kevin motion to adjust minutes with “too many fish in the lakes discussed with the possibility that the rodeo may be a liability & golf course common property use was discussed regarding changes to current use requiring membership approval.” Kiley 2nd. Unanimous.
FINANCIAL REPORTS: The Monthly Financial Statement of August September October 2025 via EZR management company was discussed. Kiley will email these financials to the group to review. Tabled until January.
Finance:
Ending Bank Account Balances as of 10/31/25: $30,448.90 Operating Account; $44,450.72 Money Market Account.
2. Collections total as of 10/31/25 is $27,373.39. I have spoken with Ryan and Kristen at EZR regarding the $100.00 credit balances to be moved to a separate category until it can be verified if these are meant to be donations, however
haven’t received a clear answer yet. It is my opinion we move forward and just allow the credits, as I believe it is only 8 accounts with $100.00 credit balances. 3. Ryan has confirmed that the “technology fee” is for postage, copies, etc. expenses. 4. The letter regarding levee damage was sent to EZR to send to Oylers with a copy of invoice requesting payment. 5. 2026 Wristbands have been ordered. $234.00. 6. By-Law XX and Amended Standing Rules from July Special Director’s meeting was sent to EZR to add to the website “documents”. 7. The revised letter to property owners requesting Rental Information within 30 days is completed; however, it would be good to put QR codes linking to the By-Law, as well as the Rental Information form, in the letter but I do not know how to do that. Letter was emailed on this date requesting same to be added to the letter and once done, I will send to EZR with list of rental property owners to mail
out.
Neighborhood Watch
Joel reports he is available if anyone has concerns. No DCSO report for November. Kevin to take ownership of getting Entergy lights in the area repaired.
Recreation (Pool, Ballfield & Playground):

November Clubhouse Report:
2 rentals in November, 1 booked for December. Restocked trash bags (donation, no spend).

Orange Book
Status of getting Lots 102 & 103 Agreement signed so we can record? 2. Need to decide when and how and date for Amended By-Laws and Protective Covenants Amendment voting. Finding out that we can combine the meeting and mail-out ballot procedures. 3. Again, need QR codes in letter to landlords to provide rental information, then will be sent to EZR with list of property owners we know which are renting. 4. Are the new Standing Rules on the BVL website? 5. Orange Book at new website still needs to be properly proofed (according to standard law office procedures) for accuracy.
Beautification:
No update.
Building Permits
No Report, but Charles responsibilities are changing so may resign.

Mowing & Grounds
Confirming the last mow happened, no new updates.
Maintenance: Lakes & Dams:
- Rain cloud deck complete. 10 gallons of stain, two full days. Thanks to community + Kayla, Ned, Vicky, Donny for volunteering saved $3k. Still need a 2nd coat of stain.
- Two docks on Thunderbird have been closed. Volunteers to remove, if no cost to board.
- Volunteer concerns regarding dangers of removal. Bonfire suggested.
- Joel motion to create a volunteer release. Kevin 2nd. Unanimous.
- Kevin to create a note for distro to the community leaves, send out via EZR and also put on community board/web.
Ladies Club:

Unfinished Business (15 – 20 min)
- Website updates: Rental Forms, Events, Minutes, Standing Rules, Bylaw 20 to be added to the new website + Contact names, main contact is buenavistalakeshernandoms@gmail.com or buenavistalakes.com contact form.
- Levee Damage reimbursements – Teri sent letter
- Docks – staining 2nd round, removal
- No Parking on Grass signage for levees / Levee parking, need to order – L&D
- Lot 102 & 103 – Caleb to get original for county records recording.
- Neighborhood Watch revitalization
- Clubhouse Wifi – 1.2k per year, table until clubhouse bathroom repairs done (KB) – discussed benefits of more flexible avails for community and directors.
- Clubhouse ceiling/bathroom repairs. Teri provided a quote that matches Kiley, $4700. Kiley motion to repair using the clubhouse funds and remainder to come from operating. Kevin 2nd. Joel calls for discussion & volunteers to treat mold + ceiling himself by January with mold treatment he owns. Motion stands. Vote: 4 Yay. 1 Nay.
- Clubhouse HVAC – (KB) – split units for humidity remediation (Sommer quoted)
- Clubhouse Mice – block holes, stop access from outside – exterminator found hole. Table for volunteers.
- Residence Running businesses in BVL, car restoration. Turned into Benny Hopkins. Send violations to buenavistalakeshernandoms@gmail.com for county reporting.
- Golf Cart Community – Unanimous vote by County supervisors, next legislature meeting January
- Julie Bales spearheaded the petition and Ann Plunk reports Robert Foster spoke up for the Golf Cart community in BVL, Tuggle supported as well. Since this is a neighbor let project Ann and Julie request that members stay informed and reach out to McLendon (pending election results) to ensure support in January
- Third Rental Violation letter approved and sending letter and list to EZR. The next step is legal action.
New Business (20 minutes)
- May Special meeting to update the covenants, requiring property owner votes. (Table for Teri)
- Security Cameras upgrade
- Guard Shack / Shed damage
- Electric co company contacted the damage for the guard shack, remount meter
