The Board of Directors of Buena Vista Lakes Maintenance Association met at 7:01p pm at the clubhouse and was called to order by President Caleb Hodges.
A roll call of board members was requested. Members present included Teri Rowell, Carl Parker, Caleb Hodges Kiley Brougham, Gina Powell, Carla Tartera, Secretary. Absent Jackie Hodges.
Community Members in attendance: Jeff Crosby, Jenny Schneider
Benevolence Collection was done. $994 – $500 to Carson family + $12 collected tonight. Benevolence will be retained at clubhouse..
MINUTES: The Minutes of the Monthly Meeting Minutes of January 2025 were reviewed, Teri motion to accept with changes and Kiley 2nd. Unanimous.
FINANCIAL REPORTS: The Monthly Financial Statement via Keith Collins management company was reviewed. A couple of $100 refunds on assessment. Operating account $43k, real estate taxes paid, Money market $44k. $46 in interest in money market account. Also a couple of collections. Kiley move to approve finance report. Carl 2nd. Unanimous.
Finance:
1. Signed contract was sent to EZR Management (Ryan & Kristen). They will definitely make available to us the monthly bank statement(s). Also notified we want to try to automated collections system (Axela) once we switch over.
2. Billing statements have been sent out with explanation letter re: 2023 Special Assessment, with credits appearing for those who had paid it. Teri to email the contract to BVL.
3. Gave notice to Collins. In March, need to coordinate/make sure transition is proceeding smoothly. Will send copy of 2025 budget to EZR.
4. Spoke with Bill Jolly, Atty. And requested a status report for all cases handled or in process by his firm such as letter sent, court proceedings filed, judgement taken. Verified that part of their process is that the judgements are enrolled which then attach to the real estate.
5. Any action on workmen’s compensation when allowing volunteers from the subdivision to make repairs/maintenance on common property, in the event someone gets hurt and wants to take action? At the very least, we need to be having volunteers sign indemnification/non-liability agreements. This is probably
a question for BVL attorney. – Gina said laws vary.
6. Reverified that the bank balance DOES include the monies paid for the Special Assessment. Since we had a late meeting in January, the bank balances, etc. were as of 12/31/24 and have not received January financial report from Collins yet. Will check to make sure delinquency report will have the $100.00 showing
as due for Special Assessment removed.

Thunderbird Dr N/Thunderbird Dr E – welfare check on neighbor. Neighbor made contact.
Thunderbird Dr N/ Green Duck Dr – welfare check. Deputies made contact.
Thunderbird Dr N/ Laughing Buck Cv – suspicious person – subject shining lights deputies had negative contact
Black Hawk Dr/Little Elk Dr – traffic hazard vehicle blocking roadway. Vehicle was removed.
Recreation (Pool, Ballfield & Playground):

Clubhouse:
3 rentals in January/February so far. No upcoming rentals until May.
Next step on clubhouse repairs is the ceilings in the bathrooms and in the office. Want to ask if we should wait for the new management company to quote in April? If not, does anyone have contractor recommendations?
I looked into wifi cost. Assuming Comcast Business may be the only non-satellite option here, that would be a $120 install fee and $70/mo.
Orange Book
1. Too cold and dealt with illness so did not schedule Orange Book Committee
meeting, but propose Monday night, February 17, or February 24. Will start with
plat covenant amendment first, then proceed to By-Laws.
2. Is everyone in consensus that the Amendment By-Law for Special Assessments
voting is invalid bases upon Attorney’s opinion regarding Warranty Deed
Restrictions superseding (and including Special Assessments) prevails? Yes, per Caleb due to returned assessments.

Mowing & Grounds
· For the BVL record we are moving forward with the previous lawn care company (Latimer) with the addition of weekly services at the clubhouse/pool, front entrance, and ball field. The “Yes” votes were Kylie, Jackie, Carl, Terri, and myself. Bill Rushe contacted Caleb for robotic mowing.
Maintenance: Lakes & Dams:
1. Got an answer back from Daniel Pressgrove (Building Official with County) on whether we had to install railing as we do community dock renovations. He advised that there wasn’t anything that he could find stating that it was a requirement. The two docks that we were looking at repairing we both without, so looks like we can keep it that way if we want.
2. I’ve had a contractor go and look at both docks and should be getting a repair quote by the end of the day. Total for both is $7371.02 Getting one more quote before taking action, final decision in April.
3. I haven’t gotten a response on the inquiry to receive the previous dam inspection reports but now that we’ve decided to get updated formal inspections this year, I guess it’s not quite as pressing. I’ll follow up on that though and if and when they release them, I’ll take them with me when I walk the levees next.
Ladies Club:

UNFINISHED BUSINESS:
Regarding Agreement for Lots 102 & 103, draft Agreement (needing verified property owner(s), legal description, revised plat information) was prepared and sent to the Board for comments/revisions to then be sent to the attorney for review/suggestions. Will need to be recorded in Chancery Clerk’s Real Estate Records once finalized. Would it be prudent to get the attorney to contact the property owner on our behalf to get the agreement signed? Caleb to reach out.
Lot 102 & 103 proposed Agreement Teri intends to submit to our attorney for review and approval/suggestions. I need to get the full property description, property owner name(s) and probably correct Mississippi form of acknowledgements from the Chancery Clerk records.
