MINUTES OF MONTHLY MEETING

February 4, 2019

The Board of Directors of Buena Vista Lakes Maintenance Association met January 7, 2019; at 7:00 p.m. Ned

Plunk called the meeting to order and Larry Moore led the assembly in prayer.

A roll call of board members was requested. Present were: Ned Plunk, Teri Rowell, Diane Barber, Jo Ann

Yager, Vicki Moore, Barbara Campbell, Larry Moore, Steve Shifflett, Richard Gatlin, Mike Willey and

Secretary-treasurer Christy Chavez. A quorum was established.

Association members present were: Steve Pionk Janice Burchette, Donna Miller, and Rose Costello.

MINUTES: The Minutes of the Monthly Meeting of January 7, 2018 were reviewed by the directors. Motion

was made to accept the minutes as presented. The motion was seconded and passed unanimously.

FINANCIAL REPORTS: The Monthly Financial Statement of January was reviewed. The motion was made,

to accept the financials with no changes. The motion was seconded and passed unanimously.

Finance:

 Ms. Rowell reported that she currently has a meeting set up with one insurance company on the 14th and

another on the 21st

.

 Ms. Rowell gave an update on the 2 lots that are in collections. The board agreed unanimously to continue

working on the current 2 lots that have judgements on them and continue working on up to 3 lots at a time.

Recreation: Pool, Ballfield, Playground:

Playground & Ballfield:

 Ms. Barber had nothing to report at this time.

Pool

 Ms. Fink called in and reported that she has an appointment to have the pool opened and would be talking

with Mr. Smith regarding painting the wooden pool furniture.

Clubhouse:

 Jo Ann Yager reported 2 rentals for January and 1 rental for February. Three dollars and nineteen cents was

spent on signs for the restroom

 Mr. Plunk agreed to repair one of the clubhouse chairs.

Publicity: Orange Book, Beautification/Sanitation/Building Permits & Greeter:

Orange Book

 No report.

Beautification:

 Ms. Fulton turned in her resignation for Beautification.

Permits

 Ms. Moore reported a request for a dog fence/run and a dock. Mr. Moore made the motion to issue the permit

for the dog fence/run, Mr. Willey seconded the motion, the motion passed unanimously. Ms. Rowell made

the motion to issue the permit for the dock pending that the railing meets the requirements as set in the

Orange Book and DeSoto County, Mr. Moore seconded the motion, the motion passed unanimously.

 Ms. Campbell reported visiting with 2 residents.

Mowing

 Mr. Moore reported that he is continuing to accept bids for mowing.

Maintenance: Lakes & Dams & Mowing:

Lakes & Dams

 Steve Shifflett reported on the following items:

 Supervisor Michael Lee had 2-24” culverts put in instead of the agreed up 60” culvert.

However, Mr. Lee agreed that if the 2-24” culverts did not work the county would replace it

with the 60” culvert. The board agreed to send Mr. Lee a letter regarding the culverts.

 A work party is needed to cut trees on 3 & 4. Cleanup on 1, repair of ruts on 4, and area by

creek is in need of repair.

 Spillway 3 is in need of repair due to water coming out from under the spillway, worn

concrete, and visible rebar.

 Mr. Shifflett reported that on January 9th he had contacted Bubba Wilson to get quotes and

had not received a return call. On January 11 quality Landscape had been contacted and

declined to bid.

 Mr. Shifflett made the motion to approve Mr. Burkhart’s bid of $10,860 for sealing the

cracks as proposed and to continue building a relationship using him for the rest of the work

to be conducted on the spillways. Mr. Burkhart would continue to submit a bid for board

approval but would be the one to go with on needed work. Ms. Rowell seconded the motion

to have Mr. Burkhart be the individual hired to complete the rest of the work on the

spillways, with bids for each job presented for approval to the board. The motion passed 8-1.

 Ms. Rowell made the motion to approve up to $3,000 for drilling holes in order to make a

better decision as to how to proceed regarding the cracks on the spillways…………………..,

Ms. Campbell seconded the motion. The motion passed unanimously.

Neighborhood Watch:

 Mr. Gatlin had nothing new to report.

 Mr. Willey invited everyone to a Neighborhood Watch meeting on February 20 @ 7:00 p.m.

 A special thanks was given to Wayne Perry for offering to make the neighborhood watch signs

 Reminder please place house numbers on homes.

Ladies Club:

 Everyone is invited to the Ladies Club meeting on February 5th

The motion was made and seconded to adjourn the meeting at 9:13 p.m.
