BVL 2023 November

BUENA VISTA LAKES MAINTENANCE ASSOCIATION, INC. DATE: Monday, November 6, 2023

The Board of Directors of Buena Vista Lakes Maintenance Association met Monday, November 6, 2023 at 7pm at the clubhouse. The meeting was called to order by President Ned Plunk at 7:05pm.

A roll call of board members was requested. Members present included Ned Plunk, Vicki Moore, Ray Creswell, Kim Wood, Janice Burchett, Joel Bales, Caleb Hodges and Carly Hackett, Erynn Patrick. Members absent included Jackie Hodges, Delynn Conlee, Nathan Narramore resigned.

Association members present were: Ann Plunk, Carla Tartera

A Benevolence Fund collection was taken up. $31 taken in October and added to $798 from last month’s total for a grand current total of $809 for use for any Association homeowner in need (groceries, bills, etc)

MINUTES: The Minutes of the Monthly Meeting Minutes of September 11, 2023 were read; motion by Vicki Moore to approve the minutes, seconded by Kathy Fink. Motion passed unanimously and minutes will be shared to the Keith Collins website.

FINANCIAL REPORTS: The Monthly Financial Statement from Keith Collins Company was reviewed. The motion was made by Vicky Moore to accept the financials with no changes. The motion was seconded by Kim Wood and passed unanimously. Following a brief discussion of the current delinquencies, the motion was made Erynn Patrick to send 6 delinquent lots to attorney for placement of a lien on the properties, all owing over $1k. Motion was seconded by Vicki Moore and passed unanimously. Vicki Moore will contact Bill Jolly.

Finance

Finance report as follows: Ned Plunk and Vicki Moore reported that the next major bill in 2024 is Insurance. Vicki Moore motion to raise the dues to $175 per year, if litigation is not in our favor, then we credit or refund the $25 increase. Erynn Patrick second. Motion passed unanimously.

● The $100 special assessment will be addressed when litigation is resolved.
After Board review Keith Collins suggested insurer, Ray Creswell motion to keep the Embry Caldwell insurance for 2024. Vicky seconded the motion. Motion passed unanimously.

Neighborhood Watch

Neighborhood Watch report as follows: Kim Wood reported 63 extra patrols in addition to our regular patrols. Calls were for family disturbances, dog barking, loose pig, fireworks.

Recreation (Pool, Ball field & Playground)

No report

Clubhouse

Clubhouse report as follows: Kathy Fink reports 1 rental in October, two rentals scheduled in November. Erynn motion to raise clubhouse rental on January 1 to $150 – this is $25 more with $25 for cleaning for a total of $150. The $100 refundable damage deposit remains the same. Vicki 2nd motion. Ray Creswell second. Motion passed unanimously.

Orange Book

Orange Book report as follows: Erynn is working thru the Orange Book process.

Beautification

No Report.

Building Permits

Building Permits report as follows: Ray Creswell & board approved two permits: Lot 63 and Ned Plunk driveway.

Greeter

No report.

Mowing & Grounds

Mowing & Grounds report as follows: Although we have a 3-year contract through 2025 we do not think B&B will renew. Currently sourcing more mowing companies.

Maintenance: Lakes & Dams

Lakes & Dams report as follows: Joel Bales reported nothing new due to lack of funds for any repairs. Discussion about cutting trees on/around the levees that need to be repaired. No assessment of levee damage until lakes can be drained. Working on details for rocks at the boat ramp and confirming stain requirements with Arkabutla Corp. Also looking for common area boat access if we have to close the levee ramps.

Ladies Club

Veteran’s Day Breafkfast, Clubhouse Christmas Decorating, December potluck with Christmas Bingo.

Unfinished Business:

  1. Digital thermostat – purchased, need to ask Nathan to install
  2. Stain for Green Duck levee dock; approximately $200-$220 for 5 gallons of stain. Motion by Delynn Conlee to table this until next year after 2024 budget is passed. Second by Kim Wood and passed unanimously. Other items also to be tabled included light fixture in the clubhouse office, turning on the lake pumps, mesh fishing nets, grading by east side of the clubhouse.
  3. Lawsuit – Ned Plunk states no update as we continue to wait on the appellate court.
  4. Update on August mail out – Ann Plunk report 98 properties are owned by people outside BVL. All addresses have been brought better up-do-date including property transfers for the past two years.
  5. Clubhouse dehumidifier
  6. Parking lot car bumpers – Ned and Joel to fix before next clubhouse event

New Business:

  1. Discuss annual mailouts – no family changes, no need to update emergency contact form – forms mailed Nov/Dec.
  2. Wristbands – order early, Ann getting 3 quotes for pink
  3. Pool Table – Ask Donation person if they want it back. Raffle it or donate it.
  4. Lake Levees – consider removing launch permissions

The motion was made by Vicki Moore and seconded byErynn Patrick to adjourn the meeting at 8:40pm. Motion passed unanimously.
