MAINTENANCE ASSOCIATION, INC.

DATE: Monday September 9, 2024

The Board of Directors of Buena Vista Lakes Maintenance Association met at 7pm at the clubhouse and was called to order by President Joel Bales.

A roll call of board members was requested. Members present included Jackie Hodges, Kiley Brougham, Carl Parker, Melanie Turner, Vicki Moore, Kim Woods, Janice Burchett, Ann Plunk, Joel Bales, Larry WIlson, Carla Tartera (secretary). Members absent included Caleb Hodges, Kathy Fink

Community Members in attendance:  Finney, Vincent

Benevolence Collection was done.  $500 from a fund provided to the family for house fire.

MINUTES: The Minutes of the Monthly Meeting Minutes of August 2024 were reviewed, reminder no quorum for the July 2024 meeting.  Ann made adjustments to finance missing from printed minutes.  Carl objected (10 yay/1 nay) to the use of the remaining 2024 assessment into the money market for Lakes & Dams (discussion on returning assessment money not used).  

Motion by Ann to approve as amended. Kim Wood’s second  Vote was unanimous.

FINANCIAL REPORTS: The Monthly Financial Statement of  July 2024 via Keith Collins management company was reviewed. The motion was made by Vicki,  Kim 2nd.  Unanimous.

  Finance:

·         Finance report as follows: Ann Plunk reported 7/31/24 operating $47k / MM $44k, Assessment $28k.  Discussed Budget recommendations. Asked board members to provide annual updates. Long discussion (42 min) on assessment, lakes & dams, etc.

Neighborhood Watch:

·         Neighborhood Watch report as follows: Kim Wood reported 14 extra patrols for issues such as disturbances, and animal control.  

Recreation (Pool, Ballfield & Playground):

·         Recreation report as follows: Jackie Hodges try to close. Pool over the weekend if no rain. Asking Jackie to requote pool refurbish.   

Clubhouse:

·         Clubhouse report as follows:  Two rentals in August. Lots of work done at the Clubhouse – interior and exterior.  Board & volunteers donated work/labor.  2nd eval on insurance on hail damage to roof.

Orange Book

·         Orange Book report as follows:  No report. 

Beautification:

·         Beautification report as follows:  A few properties will be reviewed for responsible parties to follow up on derelict/vacancy issues.

Building Permits

·         Building Permits report as follows:  one request for small house, declined.

Greeter

·         Greeter report as follows:  Janice Burchett reported visiting a couple of houses, still unable to reach one new neighbor.

Mowing & Grounds

·         Mowing & Grounds report as follows:  Two more mowings.

Maintenance: Lakes & Dams:

·         Lakes & Dams report as follows:  Working on plans for projects. Boat Ramp dirt will be moved? Board wants sand and dirt. Tabled to November.  Spillway signs needed to close last levee.

         Ladies Club:

                     Men are welcome.  Pot Luck Sat Night and other activities, Bingo, etc.

UNFINISHED BUSINESS: 

Discussion on the voting process.  Motioned to separate and seconded.  Keeping all bylaw revisions on one ballot voted:  6 YAY 3 NAY

Need volunteers to vote 

NEW BUSINESS:

Three special meeting dates discussed for community Q&A.

Speedbumps update provided by Ann.

Golf Cart community will be posted to socials via poll.

The motion was made and seconded to adjourn the meeting at 1033pm.
