MAINTENANCE ASSOCIATION, INC.

DATE: Monday March 10, 2025

The Board of Directors of Buena Vista Lakes Maintenance Association met at 7:01p pm at the clubhouse and was called to order by President Caleb Hodges.

A roll call of board members was requested. Members present included Teri Rowell (VP, Finance & OB),  Carl  Parker (L&D), Caleb Hodges (President, Mowing) Jenny Schneider (Security) , Kiley Brougham (Clubhouse), Gina Powell (Beautification), Carla Tartera (Acting Secretary). Absent Jackie Hodges (Recreation).   

Community Members in attendance: Nickoli & Charles Camarato #486, Amy & Steve King #84, Ann Plunk #214, Donna Miller #509, Jason Patrick (Thunderbird S)

Benevolence Collection was done.  New Total:

MINUTES:  Monthly Meeting Minutes of February 2025 were reviewed. Teri motion to approve February with edits to update lot numbers 102/103.  Kiley 2nd.  Unanimous. 

FINANCIAL REPORTS: The Monthly Financial Statement via Keith Collins management company was reviewed last month, Feb report not available yet. 

Finance:

1. KC to EZR transition in process.

2. Insurance renewal review, Umbrella policy discussion, coverage updates.

3. Working on recommendations for larger debt collection recovery/enforcement.

Teri motion to procure 2025 wristbands for $216+.  Kiley 2nd. Unanimous.

Neighborhood Watch

Jenny is working to establish our Neighborhood watch program

Recreation (Pool, Ballfield & Playground):

Clubhouse:

Rentals

  • 1 rental in February (Sparks).
  • 1 booked for March (King).
  • 1 inquiry for April rental, not booked yet (Chirt).

In 2022, the clubhouse brought in $2,210 in event rental income. In 2023, $2,140. I started to see storage rentals noted on financial reports in June. In 2024, $3,919. So far in 2025 (Jan only) $325. Average income for the last 3 years is $1,998.  Requests separate line items in financials for the clubhouse accounting.

Tentative committee meeting scheduled for 3/27.

Beautification:

766 Thunderbird relocated vehicle, no further action

Building Permits

Teri to call county in reference to Mr Ben House, permits

Mowing & Grounds

Possible no mow in March, due to weather.  

Maintenance: Lakes & Dams:

Lining up engineer to forecast next steps.

         Ladies Club:

  Ann provided update on pot luck, casserole sale and Easter.

    2. Levee Damage caused by resident (Carl) – repairs on hold for favorable weather
    3. Rental documentation/retention (Gina)
    4. Lot 102 & 103 – Teri to reach out to homeowner regarding plat record
    5. Vending Vote – Crosby not in attendance. Teri reaching out to county regarding zoning
    6. Wristband distro / Vehicle Hang Tags
    7. Clubhouse Wifi – 1.2k per year, table until April
    8. Docks – stain and repairs (Carl) – EZR quote in April
  2. New Business (20 minutes)
    1. Levee Parking – (Carl) asking county about gravel for common areas.
    2. Signage Install (Carl) 1 Rain Cloud, 1 @ #4, 1 @ #3, 1 @ Green Duck Launch, 1 @ Green Duck new dock 
    3. No Parking on Grass signage for levees
    4. Insurance vote regarding decreased coverage to save money: Gina motion to keep as is outlined in budget, Jenny 2nd. 4 Yay. 1 Abstain.
